compassionate and highly organized Patient Service Representative
(PSR) to be the welcoming face of our dedicated rheumatology
practice. As the first point of contact for our patients, the PSR
plays a critical role in creating a positive, supportive, and
efficient environment. This position is responsible for managing
all front desk operations, from scheduling and check-in to patient
communication. The ideal candidate will possess exceptional
customer service skills,thrive in a high volume, fast-paced
setting, and have a genuine desire to assist patients managing
chronic conditions. Essential Functions and Responsibilities
Patient Check-In and Check-Out: Greet all patients and visitors
with a warm and professional demeanor. Manage the patient check-in
process, including verifying demographic and insurance information,
obtaining necessary signatures on consent forms, and ensuring all
data is accurate in the Electronic Health Record (EHR) system.
Collect co-payments, deductibles, and outstanding balances in a
sensitive and efficient manner. Facilitate a smooth check-out
process by scheduling follow-up appointments, procedures, and
ancillary tests as directed by the clinical staff. Appointment
Scheduling and Coordination: Manage a high volume of incoming calls
to schedule, reschedule, and cancel appointments for new and
established patients. Maintain the provider schedules with a high
degree of accuracy, optimizing for efficient clinic flow. Clearly
communicate appointment details and any necessary pre-visit
instructions to patients. Communication and Patient Support: Serve
as the primary liaison for non-clinical patient inquiries,
directing calls to the appropriate department (e.g., billing,
nursing, medical records) as needed. Take clear and concise
messages and route them to providers and staff through the EHR
system. Provide empathetic and patient support, understanding the
unique challenges faced by individuals with rheumatic diseases.
Administrative Duties: Manage the reception area to ensure it
remains clean, organized, and welcoming. Process incoming faxes,
mail, and medical record requests in a timely and confidential
manner. Perform insurance eligibility checks prior to scheduled
appointments. Perform other administrative duties as assigned to
support the clinical and administrative teams. ADA Physical
Requirements Data Entry and Manipulation: Constantly operating a
computer, phone system, and other office productivity machinery
(e.g., printer, copier) which requires the use of hands/fingers to
handle, feel, operate, and input data (typing, writing, etc.).
Stationary Position: The need to remain in a stationary position
(sitting or standing) for extended periods to perform computer and
phone work. Movement: Occasionally needing to move about inside the
office to access file cabinets, office machinery, or other
workstations. Visual Acuity: The ability to observe and read
computer screens, forms, charts, and small print for accurate
information and assessment. Lifting/Carrying: Minimal requirements,
typically sedentary to light (moving or transporting items up to
10-20 pounds), such as files, supplies, or a laptop. Qualifications
and Skills High school diploma or equivalent required; Associate's
degree or certificate in a healthcare-related field is a plus. A
minimum of two years of experience in a customer service role is
required; experience as a Patient Service Representative or Medical
Receptionist in a medical office is strongly preferred. Experience
in a specialty practice (e.g., rheumatology, oncology, neurology)
is highly desirable. Proficiency with Electronic Health Record
(EHR) or Practice Management software is essential. Strong
understanding of medical terminology and different types of health
insurance plans. Exceptional interpersonal and communication
skills, with a demonstrated ability to be compassionate and
patient. Proven ability to multitask in a fast-paced environment
while maintaining a high level of accuracy and professionalism.
Strong problem-solving skills and the ability to handle sensitive
