MAHEC is looking for a warm and friendly Bilingual Business
Office Specialist to support Front Office operations in the Family
Medicine division at our Biltmore Campus. A qualified candidate
must be fluent in Spanish and English, and comfortable with medical
terminology. The overall purpose of the Business Office Specialist
is to warmly greet patients in person or over the phone, assist the
patient with check-in, check-out, scheduling, and ensure patient
flow is optimal.
Check in/Check out
* Check-in patients; acknowledge patient for appointment,
maintain record of patient check-in time, update demographic and
insurance information. * Prepares paperwork for patients as they
check in(new patient, well child or complete physical). * Responds
to walk-in patient needs. * Maintains close surveillance of the
patient wait room. * Check-out patients, including computing and
collecting payments, addressing questions in regards to account
balances, reconciling end of day reports, balancing cash drawer and
receipts. * Print clinical summary for all patients * Schedules
interpreters for hearing impaired patients or patients with
specific language interpretation needs. * Clinic shut down - i.e.
closing and locking doors, shutting down computers, lights etc.
* Schedule future appointments for all patient visits including
specialized clinics within FHC and behavioral medicine according to
guidelines. * Makes telephone appointments, updating information
each time; cancels or reschedules appointments as necessary. * Bad
Address Queue - research medical records to find current phone
numbers and call patients for new addresses; re-mails letters or
enter an off-bill comment in records when new address is not
determined. * Verifies Medicaid insurance via nc tracks. * Maintain
scheduler inbox for follow up for DNKA's, sending letters or
calling patient to reschedule appointments as requested by
Doctor's, to schedule certain lab work done. * Maintains recall
EDUCATION and/or EXPERIENCE:
Any combination of education and experience equivalent to
* High school diploma or equivalent, two years of relevant
experience, or comparable combined education and/or experience
required. * Medical office experience preferred.
Must have above average computer skills, Allscripts software
Must have excellent communication skills as the front line
representative to the public.
FOREIGN LANGUAGE SKILLS:
Ability to speak Spanish required.

Ability to discover and correct basic errors. * Position requires
the ability to appropriately and professionally handle multiple and
competing priorities. * Demonstrates appropriate service

clients, patients and visitors. * Must be a team player. * Must
demonstrate discretion in dealing with medical, fiscal and
personnel information as is appropriate to position.
Regular attendance on-site is an essential function of this
position. Typical business hours are Monday - Friday, 8:30 am to
5:30 pm (or flexed to best meet the needs of the clients and/or the
Division); 40 hours per workweek; weekend, holiday, or evening
coverage is occasionally required. Work hours will need to be
flexible in order to respond to special work assignments, or
evening activities, as requested by the team leader.
